HOA Year-End Checklist: Closing the Books for Self-Managed Boards
Quick answer: A self-managed HOA’s year-end close comes down to five jobs: reconcile every bank and reserve account through December 31, true up the owner ledger (prepaid and delinquent assessments), collect W-9s and file Forms 1099-NEC by January 31, decide between Form 1120-H and Form 1120 and calendar the due date (the 15th day of the 4th month for most calendar-year associations), and hand a clean package to your CPA or reviewer. Start in early December. Most of the pain at year-end comes from months that were never reconciled.
This checklist is written for volunteer treasurers of associations on a calendar fiscal year closing out 2026. If your fiscal year ends another month, shift the dates.
The year-end calendar at a glance
| Task | When | Source |
|---|---|---|
| Collect missing W-9s from vendors | Early December | Your vendor files |
| Reconcile December bank and reserve statements | Early January | Your bank statements |
| Furnish and file Forms 1099-NEC | January 31 (next business day if it falls on a weekend; for 2026 payments that is Monday, February 1, 2027) | IRS Instructions for Forms 1099-MISC and 1099-NEC |
| File Form 1099-MISC (rents, other income) | February 28 on paper, March 31 electronically | IRS Instructions for Forms 1099-MISC and 1099-NEC |
| File Form 1120-H (calendar-year association) | 15th day of the 4th month: April 15, 2027 | IRS Instructions for Form 1120-H |
| State filings, audits or reviews | Varies by state and governing documents | Confirm with your state law and documents |
Step 1: Reconcile every account through December 31
Reconcile operating, reserve and any money market or CD accounts to the bank statements, one month at a time, through December. Unreconciled differences do not fix themselves after year-end, and every report built on top of them will be wrong. Use our monthly HOA bank reconciliation checklist.
While you are there:
- Confirm interfund transfers. If the budget called for monthly reserve contributions, make sure the money actually moved to the reserve account, not just on paper.
- Check deposit coverage. If reserves have grown, review your balances against the FDIC insurance limit.
- Record interest on reserve accounts and CDs. Interest is taxable income for the association on Form 1120-H.
Step 2: True up the owner ledger
- Prepaid assessments. Owners who paid January dues in December should show a liability (prepaid assessments), not 2026 income, if you keep accrual books.
- Delinquencies. Run an aging report. Confirm every late fee and interest charge follows your collection policy, and decide which accounts go to the next collection step.
- Write-offs. If the board has decided an amount is uncollectible, document the board action and record it.
- Special assessments. Track any special assessment separately so the money can be shown going to its approved purpose.
A clean chart of accounts makes this much easier: separate accounts for operating assessments, reserve contributions, special assessments, late fees and interest income.
Step 3: Record accruals and close the books
For accrual-basis associations, record December bills received in January (utilities, landscaping, insurance installments) as December expenses with an accounts payable balance. Record any prepaid expenses, such as an insurance premium covering next year. Then produce the year-end balance sheet, income statement versus budget and reserve schedule. Our guide to HOA financial statements explains what each report should show.
Step 4: 1099s for vendors paid in 2026
HOAs are not exempt from 1099 reporting just because they are nonprofit. The IRS instructions say:
However, nonprofit organizations are considered to be engaged in a trade or business and are subject to these reporting requirements.
The reporting threshold went up starting with 2026 payments:
For tax years beginning after 2025, the minimum threshold amount for reporting certain payments required to be reported on certain information returns and/or perform backup withholding on those payments increased to $2,000 and may be adjusted for inflation beginning in calendar year 2027.
So for 2026, you generally file a Form 1099-NEC for each non-employee service provider you paid at least $2,000, including parts and materials, and for attorney fees of $2,000 or more. Payments to most corporations are generally not reported, but attorney fees are reported even when the law firm is a corporation. The deadline is firm:
Section 6071© requires you to file Form 1099-NEC on or before January 31, using either paper or electronic filing procedures.
One more rule catches associations off guard: e-filing is required once you file 10 or more information returns in total for the year, counting all types together. See HOA 1099 requirements for the full walkthrough.
Step 5: Plan the federal tax return
Most associations file Form 1120-H, which lets them exclude exempt function income (member assessments) and pay tax only on income like interest, at a flat 30 percent for condominium and residential associations, after a $100 specific deduction. To qualify for the year, at least 60 percent of gross income must be exempt function income and at least 90 percent of expenses must go to acquiring, building, managing, maintaining and caring for association property.
For calendar-year associations, the due date is in the instructions:
Generally, an association must file Form 1120-H by the 15th day of the 4th month after the end of its tax year.
The 1120-H election is made each year and must generally be made by the due date of the return, including extensions. If a past year was never filed, do not assume it can still go on Form 1120-H: Form 1120-H can only be filed within one year of the return’s due date including extensions, and older years fall to Form 1120. Our Form 1120-H instructions guide walks through the lines. If you would rather hand it off, Dynamite Management prepares Form 1120-H for $175 flat, plus $100 flat for a state return in any state.
Step 6: Package the year for the board, CPA and owners
- Year-end financial statements and reconciliations, with bank statements attached.
- The 1099 summary and copies.
- The approved 2027 budget, and evidence of any owner ratification or notice your state requires (see HOA budget deadlines by state).
- The current reserve study or update, and how reserve contributions compare to it.
- Insurance declarations pages and renewal dates.
- Minutes approving the budget, reserve transfers and any write-offs. Our sister site has a guide on how long to keep HOA meeting minutes and other records.
Whether you need an audit, a review or a compilation depends on your state statute and governing documents. Confirm the requirement before you engage a CPA.
Make next year easier
The single biggest time saver is reconciling monthly instead of all at once in January. HOA Fiscal keeps the owner ledger, bank reconciliation, 1099 vendor tracking and year-end reports in one place for self-managed boards. Try HOA Fiscal, and if your board wants the financial work done for you, associations can upgrade to Dynamite Management while still self-managing everything else.
FAQ
When are HOA 1099s due for 2026? Form 1099-NEC must be filed and furnished by January 31. Because January 31, 2027 is a Sunday, the deadline moves to the next business day, February 1, 2027.
What is the 1099 threshold for HOA vendors in 2026? For tax years beginning after 2025, the threshold for 1099-NEC and most 1099-MISC payments is $2,000, and it may be adjusted for inflation beginning in 2027.
When is Form 1120-H due for a calendar-year HOA? The 15th day of the 4th month after year-end, which is April 15, 2027 for the 2026 tax year. A Form 7004 extension extends the time to file but not the time to pay.
Does an HOA need an audit at year-end? It depends on your state law and governing documents. Some states require an audit, review or compilation above certain thresholds; confirm what applies to your association.
What is the most common year-end mistake? Waiting until January to reconcile the whole year. Monthly reconciliations make the year-end close a one-day job.
